The short version
You give us your details so an adviser can ring you about insurance. We use them for that. We share them with insurers when we’re getting you quotes. We don’t sell them to anyone, ever. You can ask us to delete them at any time.
The rest of this page is the detail.
Who’s responsible for your data
Provide Cover is the data controller for the personal information you give us. Our address is 321-323 High Road, Chadwell Heath, London, RM6 6AX.
For anything about your data, email hello@providecover.co.uk.
What we collect
When you use the quote form:
- Your name
- Your date of birth
- Your gender, because insurers rate on it
- Who you want to cover, and whether you have children who depend on you financially
- Your home situation, your approximate monthly rent or mortgage payment, and your approximate household income
- Whether you smoke or use nicotine products
- Whether you’ve been diagnosed with a serious medical condition
- Your email address, mobile number and postcode
- Which advert or page brought you here, plus basic technical information about your device and browser
When you speak to an adviser, we’ll usually also collect:
- Fuller details of your health, medical history and lifestyle
- Your occupation and income
- Your financial commitments, including your mortgage
- Details of your partner and children where relevant
- A recording of the call, where calls are recorded
When you browse the site:
- Cookie and analytics data, described in our Cookie Policy
Special category data
Information about your health is “special category” data under UK data protection law and gets extra protection.
We only process it where it’s necessary to arrange or administer an insurance policy for you, or where you’ve given us your explicit consent. We collect the minimum the insurer needs and nothing extra out of curiosity.
Why we use it, and our lawful basis
| What we do | Why | Lawful basis |
|---|---|---|
| Contact you about your enquiry | Because you asked us to | Consent, and our legitimate interest in responding to enquiries |
| Prepare quotes and get insurer decisions | To find you cover | Necessary to take steps before entering a contract |
| Process health information for underwriting | Insurers can’t price without it | Necessary for an insurance contract, under the substantial public interest condition for insurance |
| Administer a policy once it’s live | To service what you bought | Performance of a contract |
| Record calls | Training, quality, and a record of what was said | Legitimate interest |
| Keep records after the policy ends | Legal and regulatory record-keeping | Legal obligation |
| Improve the site and measure advertising | To spend our marketing budget sensibly | Consent, via cookie settings |
Who we share it with
- Insurers and their underwriters, so they can quote and make a decision. They become data controllers in their own right at that point and their own privacy policies apply.
- Reinsurers and medical underwriting services, where an insurer uses one.
- Our software providers, being the CRM, telephony, email and hosting services that run the business. They act on our instructions only.
- Professional advisers, such as accountants and lawyers, where necessary.
- Regulators, law enforcement and courts, where we’re legally required to.
We do not sell your data. We do not pass your details to other brokers, lead generators, or anyone else who wants to market to you. If you ever get a cold call claiming to be from us, it isn’t.
Where your data is held
We keep your data in the UK and the European Economic Area wherever we can. If a supplier processes it elsewhere, we make sure an approved safeguard is in place, such as the UK International Data Transfer Agreement or an adequacy decision.
How long we keep it
- If you enquire and don’t take a policy: up to 3 years from your last contact with us, so we know who you are if you come back.
- If you take out a policy: for the life of the policy and then a further 7 years, to meet record-keeping obligations and to handle any late claim or complaint.
- Call recordings: typically 12 months, longer if there’s a complaint or a claim attached to the call.
- Marketing preferences and opt-outs: indefinitely, because we need to remember that you asked us not to contact you.
Your rights
Under UK data protection law you can:
- See what we hold about you, free of charge
- Correct anything wrong
- Ask us to delete it, where we don’t have a legal reason to keep it
- Object to us processing it, including for marketing, which we’ll always honour
- Restrict how we use it while a dispute is sorted out
- Get a copy in a portable format
- Withdraw consent at any time, where consent is what we relied on
- Not be subject to a solely automated decision with a significant effect on you
To use any of these, email hello@providecover.co.uk. We’ll respond within one month.
If you’re not happy with how we’ve handled it, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d rather you came to us first so we can put it right.
Marketing
If you ask us for a quote, we’ll contact you about that quote by phone, email and SMS. That’s the point of the form.
Separately, we may send you occasional emails about protection insurance generally. You can opt out of those at any time using the unsubscribe link, or by replying and telling us to stop. Opting out of marketing doesn’t stop us contacting you about a policy you actually hold.
Keeping it secure
We use encryption in transit, access controls, and suppliers who are contractually held to the same standards. No system is perfectly secure, but we take it seriously and we’d tell you promptly if something went wrong in a way that affected you.
Children
This site and our services are for adults. We don’t knowingly collect data about anyone under 18, except where a parent gives us details of their children as part of an application for cover that includes them.
Changes
We’ll update this page when our practices change. The date at the top tells you when it last changed. If a change is significant, we’ll tell people who are affected.
